We take all feedback seriously. This page explains how to raise a concern or complaint, and what you can expect from us.
West End Smiles is committed to providing a high standard of dental care and service. We value all feedback from our patients and use it to improve the care we provide. If you are unhappy with any aspect of your care or the service you have received, we encourage you to let us know. We take all complaints seriously and aim to resolve them quickly, fairly and transparently.
The Practice Manager is the designated Feedback and Complaints Officer at West End Smiles, responsible for overseeing the handling of all complaints.
Not all concerns need to become a formal complaint. If you have general feedback, a comment or a minor concern, please raise it with any member of the team or the Practice Manager. We will do our best to address it promptly and informally where possible.
If your complaint relates to NHS dental treatment provided at this practice, you are entitled to use our NHS complaints procedure, which follows the standards set by NHS Scotland. You may also make a complaint directly to NHS Greater Glasgow and Clyde.
This complaints procedure cannot be used if the matter is currently the subject of legal action, if the complaint has already been fully investigated, or if the matter falls outside the scope of NHS dental services provided at this practice.
Complaints should normally be made within 6 months of the event that caused concern, or within 6 months of the date you became aware of the issue. Complaints cannot be considered more than 12 months after the event itself.
You can make a complaint in person (speak to the Practice Manager), by telephone (call 0141 339 6325), or in writing (write to the Practice Manager at the practice address).
All complaints are handled in strict confidence. Information relating to your complaint will only be shared with those directly involved in investigating or resolving it.
The Practice Manager will acknowledge your complaint promptly and aim to resolve it at the earliest opportunity. Written complaints will be acknowledged within 3 working days.
If your complaint cannot be resolved at Stage 1, it will be escalated to a formal investigation. We aim to provide a full written response within 20 working days.
If you wish to complain on behalf of another patient, we will require their written consent before we can share any information about their care.
If your complaint relates to private dental treatment, you may also refer the matter to the Dental Complaints Service, which provides an independent mediation service for private patients.
If you decide at any stage that you no longer wish to pursue your complaint, please let us know in writing and we will close the matter.
If you are not satisfied with the outcome of our complaints process, you can seek independent help through the Patient Advice and Support Service (PASS), independent advocacy services, or the Scottish Public Services Ombudsman (SPSO) — the final stage for complaints about public services in Scotland.
